Refund Policy

At Relax Seating System Pvt. Ltd., we follow a clear and transparent refund policy to avoid confusion and ensure smooth business dealings with our customers, dealers, institutions, and corporate clients.

Please read this Refund Policy carefully before confirming any order.

 

1. General Refund Policy

Refunds are applicable only under the specific conditions mentioned in this policy.

Once an order is placed, cancellation and refund eligibility will depend on the product type, customization status, payment status, production status, and dispatch status.

Relax Seating System Pvt. Ltd. reserves the right to approve or reject any refund request based on company policy and order status.

 

2. No Refund on Customized Products

Customized chairs, customized furniture, made-to-order products, specially manufactured items, modified models, customized color options, customized materials, customized dimensions, and customer-specific bulk orders are strictly non-refundable.

Once a customized order is confirmed, no refund will be provided under any circumstances.

This applies even if the product is under production, ready for dispatch, or not yet delivered.

 

3. Refund for Regular Models Before Dispatch

For regular, standard models only, a refund request may be considered if the request is made before the product is dispatched.

If the refund request is approved before dispatch, the customer may be eligible for a 95% refund of the eligible paid amount.

The remaining 5% may be retained towards administrative, processing, handling, payment gateway, order management, or business processing charges.

 

4. No Refund After Dispatch

No refund will be provided after dispatch of the product.

Dispatch means the product has left our factory, office, warehouse, delivery point, or has been handed over to a transporter, courier, logistics partner, customer-appointed vehicle, or delivery representative.

Once dispatch is completed, the order will be treated as final, complete, and non-refundable.

 

5. Order Cancellation Terms

Once an order is placed, it cannot be cancelled freely.

Order cancellation, if requested, will be subject to the following terms:

 

A. Customized Chairs / Customized Furniture

No cancellation, no return, and no refund will be accepted under any circumstances.

 

B. Regular Model Before Dispatch

A refund request may be considered only before dispatch. If approved, 95% of the eligible paid amount may be refunded.

 

C. After Dispatch

No cancellation, no return, and no refund will be accepted after dispatch.

 

6. No Refund for Transport Loss or Damage

Relax Seating System Pvt. Ltd. shall not be responsible for any loss, damage, breakage, dent, scratch, delay, or mishandling caused during transport.

No refund, return, replacement, or claim shall be accepted for transport-related damage or loss once the product has been dispatched.

Customers are advised to check goods at the time of delivery and coordinate directly with the transporter or logistics provider for transport-related issues, if applicable.

 

7. No Refund for Wear & Tear

No refund will be issued for regular wear and tear or damage caused after delivery or usage.

This includes but is not limited to:

  • Normal usage marks
  • Fabric aging or fading
  • Foam compression
  • Scratches caused during movement or handling
  • Damage due to improper use
  • Damage due to overload
  • Damage due to water, moisture, heat, sunlight, or chemicals
  • Accidental damage
  • Poor maintenance
  • Unauthorized repair or modification

Wear and tear is not treated as a manufacturing defect and is not eligible for refund.

 

8. Warranty Does Not Mean Refund

Relax Seating System Pvt. Ltd. provides a 2-year manufacturing warranty against genuine manufacturing defects, subject to inspection and approval.

Warranty support may include repair, service, replacement of defective manufacturing-related parts, or other suitable resolution at the company’s discretion.

Warranty approval does not automatically qualify the customer for a refund.

Refunds are not applicable for warranty cases unless specifically approved in writing by Relax Seating System Pvt. Ltd.

 

9. Service Warranty / Lifetime Service Support

Relax Seating System Pvt. Ltd. provides lifetime service support for eligible products, subject to feasibility and location coverage.

Lifetime service support is applicable within 10 km from our factory or office location.

Service beyond this range may be chargeable, unavailable, or subject to special approval.

Service support does not mean free refund, free replacement, or free spare parts. Charges may apply for spare parts, technician visits, transportation, labour, or additional work depending on the case.

 

10. Refund Processing

Approved refunds, if any, will be processed through the original payment method or another mutually agreed method.

Refund processing time may vary depending on banking channels, payment gateway timelines, and internal verification.

Relax Seating System Pvt. Ltd. shall not be responsible for delays caused by banks, payment gateways, or third-party financial service providers.

 

11. Required Documents for Refund Request

For any refund request to be reviewed, the customer may be required to submit:

  • Invoice or order confirmation
  • Payment proof
  • Product details
  • Reason for refund request
  • Written request before dispatch, where applicable
  • Any other document requested by the company

Incomplete requests may not be processed.

 

12. Final Decision

All refund-related decisions will be made by Relax Seating System Pvt. Ltd. after reviewing the product type, customization status, payment status, dispatch status, and order details.

The decision of Relax Seating System Pvt. Ltd. shall be final and binding.

 

13. Jurisdiction

All disputes, claims, or matters arising in relation to refunds, cancellations, payments, products, warranty, service, or business transactions shall be subject to the jurisdiction of courts located in Kolkata only.
